Executive Assistant Job Overview
The Role:
Our client, a busy executive at a law firm, is seeking a highly capable and proactive Personal & Executive Assistant to help streamline and manage both professional and personal responsibilities. This is a dynamic and high-trust role for someone who thrives in fast-paced environments, anticipates needs before they arise, and takes pride in creating order out of chaos. You’ll serve as a true right hand to the executive, keeping her work and home life running smoothly.
Responsibilities
- Manage and coordinate the executive’s professional and personal calendars
- Anticipate scheduling conflicts and proactively resolve them
- Sit in on meetings, take notes, and follow up on action items as needed
- Manage communication, email flow, and task tracking
- Coordinate travel arrangements, appointments, and logistics
- Assist with managing the executive’s child’s calendar and activities
- Run errands or manage personal tasks (virtually or locally if in Tampa Bay)
- Keep the executive five steps ahead, always thinking proactively
Qualifications
- High emotional intelligence and strong interpersonal skills
- Strong attention to detail and organizational abilities
- Discreet, trustworthy, and professional
- Comfortable with direct, fast-paced communication
- Able to juggle multiple tasks and prioritize effectively
- Tech-savvy and comfortable with modern tools
- 2+ years of experience in an administrative, personal assistant, or executive assistant role
- Based in the Tampa Bay area preferred, but open to remote candidates with high responsiveness and flexibility
- Excellent written and verbal communication skills
- Ability to work independently and exercise good judgment
$60,000–$80,000 per year, depending on experience and location
