We have experienced remarkable success with our U.S. event series, including the AI Engineer Summit, AI Engineer Worlds Fair 2024, AI Engineer Summit NYC 2025, and AI Engineer Worlds Fair 2025. Attendance has grown approximately 400% over two years, and we plan to expand the series and grow the community with this pace. By 2030, the AI Engineer World’s Fair annual event is projected to attract over 10,000 attendees, establishing it as a leading global gathering in AI and technology.
To support our ambitious growth plans, we are seeking to expand our founding team with a strong Lead Event Producer who will play a crucial role in executing world-class events and driving our vision forward.
Position Overview
As the Lead/Senior Event Producer at Software 3.0, you will serve as the lead production expert, reporting directly to the General Manager and overseeing the entire lifecycle of our event portfolio. With 10+ years of hands-on experience producing large-scale tech events within agency environments, you will be the key decision-maker on all production matters—owning vendor relationships, delivery strategy, and operational excellence for Summits, Conferences, Expos, and Meetups. You will lead all junior event staff and guide them in executional excellence.
Key Responsibilities
- Lead the planning, production, and flawless execution of all first-party events (World’s Fair (Flagship event SF), Summits (Regional), Leadership retreats etc).
- Serve as the primary decision-maker on production, vendor management, and event operations.
- Build and maintain a robust production framework for process automation and repeatability.
- Direct all vendor and venue relationships, including negotiation and contract management.
- Collaborate cross-functionally with internal teams, sponsors, speakers, partners, and stakeholders to maximize event promotion and results.
- Mentor and lead junior producers and extended production teams as needed.
- Develop and manage production budgets, forecasts, and resource allocations.
- Guide event measurement, success criteria, and continuous improvement for future events.
- Uphold composure and accountability while executing high-pressure, live onsite events.
- Advise on best practices and innovation to push event production to the next level.
Required Experience & Skills
- 10+ years producing tech and developer-focused events, with agency experience.
- Demonstrated success producing large-scale expos and conferences (2,000+ attendees).
- Skilled in leading teams, managing multiple vendors, and handling premier venues (especially SF, NYC, and other major cities).
- Experience managing sponsors, speakers and paying attendees, including communications with C-level executives.
- Highly competent in project management and event management software.
- Track record of developing scalable frameworks to manage a portfolio of events.
- Strong financial acumen for budgeting, negotiation, and resource management.
- Familiarity with design, branding, and marketing principles.

Qualifications
- Minimum 3 years as a lead producer for tech events/clients.
- Minimum 10 years in tech event management/ production
- Extensive agency experience. This role suits someone who has worked in an event agency. Brand side event marketing is a plus.
- Bachelor’s degree in Marketing, Engineering, Business, or a related discipline.
