About The Role
We are seeking a meticulous and experienced Payroll Specialist to join our team. This role is primarily remote, offering flexibility and the opportunity to work from anywhere, with the exception of an initial training period and two onsite days per month for payroll processing. The Payroll Specialist will be responsible for ensuring the accurate and timely processing of payroll for Lawyers, Business, and Legal Professional Staff. The ideal candidate will handle various payroll functions, maintain compliance with applicable laws, and collaborate effectively with internal departments to support the firm’s payroll operations. This position requires a detail-oriented professional capable of managing multiple priorities under strict deadlines while maintaining confidentiality and integrity in all payroll-related matters.
Qualifications
- Minimum of 2 years of relevant payroll experience, including at least 1 year of direct payroll processing
- Proficiency in Excel and experience with accounting/payroll systems
- Experience with ADP and UKG Kronos strongly preferred
- Experience with document management systems is a plus
- Basic knowledge of federal and state payroll regulations
- Strong attention to detail and accuracy in work production
- Excellent problem-solving skills and ability to seek guidance when necessary
- Effective verbal and written communication skills across all levels of the organization
- Ability to manage multiple priorities under tight deadlines
- Commitment to maintaining strict confidentiality of employee and firm data
- Flexibility to work after hours or on weekends as needed during payroll cycles
- Primarily sedentary work with minimal physical requirements
Responsibilities
- Process bi-weekly payroll and special payroll runs, including out-of-cycle checks, manual checks, reversals, and adjustments
- Review payroll data for accuracy, including new hires, terminations, and changes to employee information
- Handle salary proration, garnishments, deductions, and reimbursements ensuring compliance and accuracy
- Maintain detailed and confidential records of payroll transactions and related documentation
- Import and process Kronos timekeeping files, perform data uploads, and create reports in ADP and related systems
- Respond promptly to payroll and Kronos email inquiries from staff and management
- Manage payroll-related folders and shared drives to ensure data integrity and accessibility
- Ensure compliance with federal and state payroll laws and regulations
- Generate and audit 401(k) contributions, loans, and benefits deductions
- Respond to unemployment claims, verifications of employment, and disability claims
- Maintain IRS lock-in letters, leave insurance records, and other compliance documentation
- Coordinate with HR, Benefits, and IT departments to ensure accurate data flow and reporting
- Prepare payroll reports and schedules for management review and analysis
- Assist with tracking bonuses and salary increases, ensuring proper documentation and processing
- Serve as a backup for Kronos and payroll system tasks, providing support as needed
